    The Payroll and HRIS Administrator has the responsibility of bi-weekly maintenance of time keeping data and exporting to ADP Payroll system for pay calculation. Responsible for the bi-weekly payroll and monthly commission payroll processing for 1800 U.S and Canadian employees using ADP Enterprise Version 5 (EV5) payroll system. Incumbent is also responsible for routine data maintenance such as direct deposit set up and third party sick pay. Assists Manager on conducting tax audits and correcting wages and taxes by adjusting paychecks for accurate reporting. Incumbent needs to have great knowledge of laws related to processing payroll including understanding of Wage and Hour, FLSA and administering the federal, state and local tax withholding and setting up of garnishments as ordered by the courts and authorities. Responsibilities include the ability to research laws on taxation and other compliance requirements and escalate issues to Manager when necessary. Incumbent needs to have a clear understanding of Benefits and Compensation offerings to the point they relate to Payroll. Handles all inquiries on HR phone line and dedicated mailbox.





    • Maintains and audits time keeping data and closes, signs off time cards and exports bi-weekly files to the payroll system. 
    • Imports T& A data into ADP EV5 system for payroll processing. 
    • Gathers payroll data from various sources and processes them for paycheck calculation. 
    • Submits payroll, previews for validation, obtains approval from the Payroll Manager and transmits payroll. 
    • Responsible for scheduling and closing bi-weekly regular payroll and monthly commission payroll for employees in United States and Canada in two different payroll systems. 
    • Enters direct deposit including pay card entries, and performs payroll entries such as deductions and refunds. 
    • Understands the Tax withholding requirements and sets up the taxes for employees based on their work and resident locations. 
    • Interprets garnishment orders, understands disposable income and poverty level income threshold and sets up the garnishments to comply with the orders from the courts and other statutory entities. 
    • Performs routine audits and process adjustment entries (year-to-date taxes, taxable wages, earnings and deductions) on employees records. 
    • Answers HR hotline and assists with HR and Payroll inquiries via phone and emails. 
    • Assists with reconciling W-2's and other year-end activities. 
    • Creates and prints manual checks and secure signature from signatories. This function includes issuing immediate checks for employees in states that require immediate check at termination. 
    • Creates and releases departmental communications with the approval of the Manager. 
    • Maintains the company Intranet site with up to date payroll information. 
    • Develops and maintains Standard Operating Procedure documents.




    • Creates and distributes routine and on demand reports and Matrix and distributes to internal and external customers. 
    • Provisions security access for users upon Manager’s approval. Performs password reset for users on E-Time and EV5. 
    • Supports Manager with system upgrades and other implementations. 
    • Coordinates the systems and other payroll issues with ADP client service consultants for prompt resolution. 
    • Assists with other projects on an as needed basis.


    • A Bachelor’s and a minimum of 3 years of payroll experience is required OR an Associates degree and 5 years of payroll experience is required.
    • FPC or CPP is highly preferred
    • A high level of proficency with Excel, Microsoft Word and MS Project is required.
    • Previous work experience with ADP EV5 and E-Time Management system is also required.
    • Fluency with Tax withholding requirements is required; previous experience setting up the taxes for employees based on their work and resident locations is also required. 
    • Ability to interpret garnishment orders, disposable income and poverty level income threshold and setting up garnishments to comply with the orders from the courts and other statutory entities is also required. 
    • Experience performing routine audits and process adjustment entries (year-to-date taxes, taxable wages, earnings and deductions) on employees records is critical 
    • The incumbent should possess good analytical skills and excellent communication skills and exhibit a high level of professionalism
